Estimated Taxes for Small Business Owners: Plan Before Filing Season
Updated: 7 days ago

A strong sales month feels better when you already have a plan for the tax payment. Put tax reviews on your business calendar alongside payroll and billing so that filing season begins with organized information.
Know when estimated payments may apply
Federal taxes are generally paid as income is earned, through withholding or estimated payments. Individuals, including sole proprietors, partners, and S-corporation shareholders, generally need estimated payments if they expect to owe at least $1,000 when filing, subject to applicable exceptions and payment rules. Estimates can cover income tax and self-employment tax.
Use a projection, then refresh it
The IRS directs taxpayers to estimate annual income, deductions, credits, and taxes, adjusting for changed circumstances and tax law. Prior-year information is a starting point. Payment timing matters: paying the full balance when filing does not necessarily eliminate an underpayment penalty. Uneven income may warrant an annualized calculation.
Create a quarterly information packet
Before each review, send your accountant current financial statements, a list of payments already made, and details of major changes. Flag a new contract, lost customer, large transaction, or change in household income. Ask for a written payment plan that identifies the taxpayer, tax year, agency, amount, and deadline.
Make the cash plan visible
Keep your planned tax reserve in your cash forecast. Assign someone to schedule payments and someone to confirm they processed. Store confirmation numbers with the quarterly packet. A simple payment log is easier to maintain throughout the year than reconstructing payment history during return preparation.
Bring questions forward
If a projected payment looks unaffordable, contact your accountant before its due date. Review the calculation and cash forecast together rather than postponing the conversation. Ask for state requirements to be evaluated separately as part of the same planning meeting.
