A busy month can leave a business owner with a full bank feed and little time to understand the numbers. A repeatable monthly close makes it easier to see what needs attention before the next payroll, vendor payment, or tax appointment.

1. Gather documents in one place

Create a folder for each month and collect bank statements, credit card statements, invoices, receipts, and payroll reports. Ask your bookkeeper for a short missing-document list rather than trying to resolve questions through scattered emails.

2. Reconcile accounts and review unusual items

Compare each bank and credit card account in your accounting software with its statement. Investigate duplicate entries, unmatched transfers, and transactions waiting for an explanation. Review owner contributions, withdrawals, and loan activity separately so the reports tell a clear story.

3. Review unpaid invoices and upcoming bills

Set aside time to contact customers with overdue balances and confirm which vendor bills are due next. Keep a rolling view of expected receipts and payments. A profitable month can still feel tight when customers pay after your own obligations come due.

4. Turn reports into decisions

Read the profit and loss statement alongside the balance sheet. Compare results with the prior month and your budget. Choose one action: follow up on a customer balance, investigate a cost increase, or revise a spending plan. Assign an owner and a follow-up date.

Keep records that support your return

The IRS explains that business records help substantiate income and deductions. Retention periods depend on the document and circumstances; one blanket disposal date may be inappropriate. Save supporting documents with the related transactions and discuss a retention policy with your tax professional.
